During the term of an apprenticeship or traineeship, there is often the need for an employer or an apprentice or trainee to amend the details of the training contract. The Queensland Department of Education, Training and the Arts must be advised of any amendments. The responsibilities of the employer, apprentice or trainee, and the supervising registered training organisation vary, depending on the type of amendment required.

Minor amendments
A 'minor' amendment is an amendment that does not alter the basis of the training contract. Examples of a minor amendment include a change of address of the apprentice or trainee, the correction of a typographical error, or the change of name of an apprentice or trainee through marriage or deed poll. Where a minor amendment is required, the person initiating the amendment must advise other parties to the training contract, and the department, in writing, including the date of effect of the amendment. A Minor amendment of registered training contract form is available for this purpose. The use of this form is not mandatory, but will ensure that the necessary advice is provided to the department.
Change of supervising registered training organisation
The employer must ensure that a Change of supervising registered training organisation form is completed and signed by both the employer and the registered training organisation replacing the previous training provider. The form is to be lodged with the relevant regional office of the Department within 14 days of the change of provider occurring.
Change in the qualification
Where the level of the qualification remains unaltered, and the new qualification and related apprenticeship or traineeship calling are aligned to the previous qualification and calling, the employer should use an Agreement to transition form. The employer, the apprentice or trainee, and the supervising registered training organisation must sign this form. If this form is not used, the advice must include all the information and signatures contained in the departmental form.
Completed forms must be sent to the appropriate local regional office of the department. Forms may be obtained through an Australian Apprenticeships Centre or from the department's website on the Apprenticeships and traineeships page.
Major amendments
A 'major' amendment is an amendment that alters the basis of the training contract. Examples of a major amendment include a change of an employer's legal name, a change of employment status (e.g. from part-time to full-time), or a change of qualification level (e.g. from Certificate II to Certificate III in the same qualification).
Where a major amendment is required, all parties to the training contract must apply in writing to the department for approval of the amendment. The supervising registered training organisation must also support this application. A Major amendment of registered training contract form is available for this purpose. Although the use of this form is not mandatory, it will help the department in making the decision whether or not to approve the amendment.
The employer must ensure that the form or written application is forwarded to the department within 14 days of the amendment. A major amendment is not effective until approved by the department. The department will provide prompt written advice of the decision, including the date of effect.
A change in the apprenticeship or traineeship calling, where there is no alignment with the previous calling (e.g. from a Hospitality traineeship to a Retail traineeship), will require a cancellation of the original training contract and the lodgement of a new training contract.
